Provisioning

The Provisioning Team is part of the People & Culture Division and provides university-wide operational support for staff appointed under continuing, fixed-term and contingent-funded arrangements partnering with Recruitment, Payroll, Information Technology, Security, system owners, local administrative teams, supervisors and staff to ensure employment information, system access and essential onboarding arrangements are in place.

Provisioning plays an important role in enabling staff to commence effectively and transition between roles, by ensuring the appropriate access and arrangements are established at the appropriate time.

Services

The Provisioning Team monitors employment and commencement information to identify provisioning requirements and coordinate access arrangements while taking timely actions across relevant University systems and business areas, including:

  • Pre-employment – creating Person of Interest (POI) and pre-employment records in HR systems to support appropriate pre-commencement access to HORUS, PULSE and email.
  • Staff onboarding support – coordinating Welcome sessions and staff ID card collection, and providing advice and assistance to staff and supervisors throughout the onboarding process.
  • Access and provisioning – coordinating with supervisors to arrange the access and resources required for staff to perform their roles effectively, including shared drives, mailboxes, distribution lists, enterprise systems, building access, equipment and telephony, through the Provisioning Request in ANU Connect.
  • Internal movements – coordinating provisioning and access arrangements for staff transitioning between roles, areas or employment arrangements.
  • Background checking – coordinating required background checks, including police and Working with Vulnerable People checks, in accordance with University requirements and procedures.
  • Stakeholder coordination – working with Recruitment and Payroll to support the timely completion of onboarding and minimise issues affecting system access or salary payments.
  • Staff communications – managing requests from staff to receive Union communications.

Through these services, Provisioning supports a seamless employee experience while contributing to effective access management, information security, operational continuity, and compliance with University policies and procedures.
