2019 ERMS Upgrade webpage

The ERMS (Electronic Records Management System) is now available for use.

Some technical issues were encountered during the upgrade. These have now been resolved.

Please note that there is ongoing work that may impact some tasks.

  • More than 70,000 metadata changes are being re-indexed and this will complete over the weekend.
  • Any new documents or folders created today will be added to the indexing backlog to complete over the weekend. Although you will be able to browse to newly created items, you will not be able to search for them until the indexing is complete.
  • Once the indexing backlog is complete, new items will be searchable in near real-time.
  • Saving directly from within Microsoft Office products (Outlook, Word, Excel, PowerPoint) using DIS may cause an error. You can use other methods to upload directly to ERMS via your browser or via WebCenter Content Server from your Desktop. For more information see the ERMS User Reference Guide.

Integrations from the following systems to ERMS have been restarted. It will take some time to load and index all documents that have queued while the integrations were paused. This includes:

  • eForms – finalised form uploads
  • HORUS – PDRs and medical certificate access
  • SAS – new student application uploads
  • Curriculum Management System – published curriculum uploads

Benefits of the new system include:

  • Better search capability, including filtering options.
  • Improved system performance.
  • Single sign on for ease of access.
