Hosting an event at Kambri – FAQ

11 May 2019

The following FAQs relate to the University’s recently released booking process for events at Kambri. The new process has taken into account community feedback. The process will be reviewed again in six months’ time – the next review will take place in October 2019.

Do I need pay venue hire fees to hold an event at Kambri if I am a student?

Student associations and groups can host events in the Marie Reay Teaching Centre, The Lawn, The Lane, The Amphitheatre or on University Avenue without incurring any venue hire fees, however cleaning fees may be charged.

All events that generate an income (for example, people are charged to attend) will incur venue hire fees, even if they’re hosted by a student association or group.  Ticketed events in the Marie Reay Teaching Centre are free even if ticketed.

Do I need to pay venue hire fees to hold an event at Kambri if I am a staff member?

Staff can host academic events, social gatherings, etc in the Marie Reay Teaching Centre, The Lawn, The Lane, The Amphitheatre or on University Avenue without incurring any venue hire fees, however cleaning fees may be charged.

Staff, Colleges, Schools or Divisions can have venue hire fees waived in the Cultural Centre if their event is considered academic priority, as approved by either Strategic Communications and Public Affairs or a member of the Executive. Academic priority events will showcase the University’s leadership in areas of strategic importance.

Events in the Cultural Centre will be charged a discounted rate (ANU) regardless if they are an academic priority or not.

All other events that generate an income (for example, people are charged to attend) will incur venue hire fees, even if they’re hosted by an ANU College, School, Division or staff member.

Can I book an event at Kambri during the teaching period?

Timetabling and exam commitments are prioritised in Kambri spaces during teaching periods from 8am to 5pm, Monday to Friday. Every effort will be made to accommodate events during these periods, after hours and on weekends, but all prospective Kambri users should be aware the University’s priority is to provide first class teaching facilities for its students.

What else do I need to do to hold my event at Kambri?

All events need to be requested through the Wiltshire + Dimas team by emailing concierge.  Following space approval, they need to be booked through Function on Campus. Even if venue hire fees are being waived, you need to book the room or the space.

You also need to nominate an ANU sponsor for your event. If you are a staff member or a student affiliated with an ANU student group, you can sponsor your own event. External event organisers, even those for commercial events, will be required to nominate an ANU sponsor that must show the required standard of accountability for nominating the event for approval, and ensure the event is compatible with ANU goals and objectives.

Who should I contact about arranging my event at Kambri?

Your first point of contact should be Wiltshire + Dimas, Kambri’s precinct managers, to determine if there is availability of Kambri spaces for your preferred date and time.

If you’re seeking to have your venue hire fees waived through academic priority provisions, you should contact SCAPA or a member of the Executive with a demonstration of how your event meets academic priority.

You then need to secure your booking through Functions on Campus, nominate your ANU sponsor and follow all other requirements for hosting functions on campus.

Who are Wiltshire + Dimas?

Wilshire + Dimas are contracted by ANU to manage and activate the Kambri precinct, including supporting events in Kambri.

What happens to revenue raised through commercial events at Kambri?

All revenue generated from venue hire at the Kambri Precinct is reinvested into the precinct for the benefit of the broader ANU community.

What are the catering arrangements in Kambri?

The catering arrangements are exclusive to Black & White catering in the Cultural Centre.

The catering arrangements are highly flexible in the Marie Raey Teaching Building.  Groups can chose any insured and licensed caterer.  Groups that require liquor will need to secure a liquor permit for any of their events.

How does the Cinema in Kambri operate and who is responsible for it?

The Cinema in the Kambri Precinct is scheduled by Wiltshire + Dimas.  It is also home to the ANU Film Group and a Timetabling space during Teaching periods.  If a group is interested in booking into the  Cinema, they will need to email the Wiltshire + Dimas team at  concierge.kambri@wdmanagement.com.au.  Any complimentary requests to use the Cinema will have to be approved via the SCAPA team, following the same process as ANU priority events.
