HDR Admissions Project

The Service Improvement Group (SIG) has a project underway to implement a digitalised and automated HDR Admissions process from application to acceptance. This project is a key element within the wider program to transform HDR administration and improve the experience of prospective HDR students. The automated process will flow across the Division of Student Administration, Colleges and Schools. The aim is to provide an efficient and effective process for managing HDR applications that reduces administrative burden and improves tracking and reporting. 

What will it mean for staff and HDR candidates?

  • The need to complete manual paper-based forms will be eliminated.
  • Workflow and business processes will be standardized, simplified and streamlined, delivering a higher-quality experience for both staff and students.
  • The process will be integrated with core systems, including the Student Administration System and ERMS to reduce manual data entry and work effort and improve data integrity and quality.
  • The ANU website and pre-application information pathways and content will be renewed to improve the candidate experience.
  • Improved management reporting relating to HDR admissions.

The upcoming changes are part of the ANU commitment to simplify and standardise HDR administrative support processes.

Planning Phase Complete

The Planning Phase for the Admissions Project concluded in November 2018 and involved the development of key project documents including the Project Plan, Risk Register, Issues Register, Communications Plan and Functional Specification Document.

Fifteen HDR Admissions Working Group meetings involving staff from across Central, Colleges and Schools were held over 2017/2018, completing deep-dives into the functional requirements for the Pre-Application, Application, Core Application Processing, Offers and Acceptance and Reporting components of the Admissions process.

Design and Build Underway

Project Phases Plan

The Execution Phase for the Admissions Project commenced in January 2019.

The approved IT solution being used is Infiniti (Intelledox software) which has previously been used to develop other Student eForms such as HDR Milestone Reporting and Manage My Degree eForms.  The Intelledox Digital Transformation Centre (IDTC) has commenced solution design, with development to commence shortly using an Agile / iterative development approach.

Further consultation will be undertaken as and when required with colleges and relevant service divisions.
